Who we are
Holdbird is run by 1001533214 Ontario Inc., a company in Ontario, Canada, operating as Holdbird. It is responsible for your information. For any question or request about it, write to support@holdbird.com.
What we keep
- Waitlist (now closed): if you joined it, your email address, the language of the page you used and, if you share them, the situations you would use Holdbird for. To stop abuse, we briefly keep a hashed form of your IP address.
- Your account: your email address and name, the number Holdbird rings, any email address or number the account used before, how many calls you've made, which AI app connected to Holdbird for you and when it first and last did, your test calls, when you agreed to the terms of use and this policy, and sign-in records (time, IP address and browser). Your password, access code and the codes we text to confirm your number are kept only in hashed form; we can't read them. If you sign in with Google, Google gives us your name, email address and the link to your profile picture, and we keep them with your sign-in.
- Your calls: the number your AI assistant asked us to call, its request, times, status and outcome, what happened while we got through the phone menu and the wait (such as what the menu said and which options we chose), records we use to check and improve how calls are handled, and anything about the call that you report on your account page or your AI assistant passes on to us. Requests that seem to contain a password, PIN or card number are refused, and such details are blanked out of what we keep.
- Your messages to us: notes you leave for Holdbird on your account page, and our replies, which only you see there.
- Notes: short notes we may write for running Holdbird, such as who introduced you. Only we see them.
- Server logs: times, the app sending each request and the kind of request (never what it says), and errors, to keep the service running.
This website has no advertising or analytics trackers, so a browser's Do Not Track setting changes nothing here. If you sign in, your browser keeps your sign-in session; nothing else is stored there.
Why we use it
- To place the calls you ask for, ring you when a person answers, and show your calls and remaining calls on your account page.
- To send sign-up, invitation and password emails and news about Holdbird. Waitlist emails are only about Holdbird.
- To find and fix problems, see how Holdbird is used, improve how calls are handled, and prevent misuse.
We don't sell your information or use it for advertising, and we share it only as described here or when the law requires it.
Who helps us run Holdbird
Your account and calls are kept in Canada. Service providers handle parts of the work for us and receive only what that part needs:
- Sign-in, waitlist and email: your email address, sign-in details, your waitlist entry, our notes about you, and the emails we send you or you send us.
- AI services: your call request and what is said on the call while we get through the menu and wait, so the menu can be understood and answered.
- Phone line: the numbers called, your number, the codes we text to it and the call audio.
- Website hosting and network: what your browser and your AI app send to Holdbird, and IP addresses.
These providers are in Canada and the United States, and some run worldwide. Information handled outside Canada may be available to authorities there under their laws. Write to support@holdbird.com for the current list of providers.
The business you call sees Holdbird's phone number as the caller, not yours. To get through its phone menu, we may say the reason for your call or key in details from your request, such as a booking or account number, before you're connected. If the menu asks for a phone number, we key in the number Holdbird rings, unless your request gives a different number or says not to give one, or you've turned this off on your account page. Your AI app is your own choice; what you tell it is covered by that company's privacy policy.
How long we keep it
- Waitlist entries stay until we no longer need them or you ask us to remove yours.
- Your account and calls stay while your account is open, until you ask us to delete them.
- When you ask, we delete your account and your call history: what you asked for, your phone number and anything you wrote to us. We keep what our calls learned about each business's phone system (what its menu said, which keys and replies got through, and whether a person answered), without your name, email or phone number, and a brief record that calls took place, to count usage and prevent misuse.
- If we close an account because it broke our terms of use, we keep it with its calls until you ask us to delete it, and we keep a coded form of its email address and phone number that can't be turned back into them, so they can't be used to sign up again.
- To prevent misuse, such as one person running several accounts, we also keep a coded form of every email address and phone number an account has used, which can't be turned back into them. It stays after the account is deleted.
- Older copies can remain in our backups until those are cleared.
Your choices
- To see, correct or delete your information, or to close your account, write to support@holdbird.com. We reply within 30 days.
- You can change the number Holdbird rings on your account page at any time. Creating a new access code there stops the old one from working.
- If you're not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada.
- To stop news about Holdbird, reply “unsubscribe” to any of our emails or write to support@holdbird.com.
Keeping it safe
Connections to Holdbird over the internet are encrypted. Each account holder sees only their own calls, and only Holdbird itself can see call details. No system is perfectly secure; if a breach puts you at real risk, we'll tell you.
Children
Holdbird is for adults. It isn't meant for anyone under 18.
Changes
When this policy changes, we update the date at the top. We'll email account holders about important changes. The terms of use cover how Holdbird may be used.
